Work Schedule Rules and Work Schedules

A work schedule rule is a precise description of the work schedule that specifies
the working times of a group of employees.

A work schedule rule is assigned a period work schedule , which in turn is made
up of daily work schedules . Rotating shifts are set up by assigning a period
work schedule to several work schedule rules.

Work schedules are not stored all at once, but stored for each month. The work
schedule is created regardless of the length of the period work schedule and is
not person-specific.

Employee Subgroup Grouping for Work Schedules

This allows you to categorize employee groups and subgroups for time
recording.

Example

1 = Hourly-paid employee  2 = Salaried employee

Public Holiday Calendar

Use

A public holiday calendar distinguishes working days and public holidays.

Dependencies

If you enter an exception rule for non-working days and have selected your
public holiday calender , you must enter a public holiday calendar for your
region.
Daily hours

Specifies the average daily working time in hours as
determined in the collective agreement or single plant
bargaining agreement.
Dependencies

This is the default value in the Planned Working Time
infotype (0007) and can be used in Payroll.

Reference Date for Period Work Schedule

Determines the date the system uses as the reference
point for generating the period work schedule.

Dependencies

For a work schedule to be generated, the position in the
annual calendar as of which the period work schedule is
generated must be specified. You determine this position by
the calendar date and a starting point in the period work
schedule.

Notes

The system uses the reference date only as the reference
point for generating the period work schedule from within a
calendar. Therefore the work schedule is available not just
as of the reference date but for the whole validity period.

Starting Point in Period Work Schedule

The starting point in the period work schedule determines
the position in the period work schedule from which the
work schedule is generated.

Use

A period work schedule can consist of any number of days.
For example, you have created a period work schedule that
covers four weeks, that is 28 days/positions. To determine
the position, you number off the positions in the period
work schedule.
Example

You have created a seven-day period work schedule that starts on a Monday and ends on a Sunday. The Monday is position 001,
Tuesday is 002, and so on. The reference date for the period work schedule is the 01/05/1999 (a Friday). You must therefore enter
01/05/1999 as the reference date and position 005 as the starting point.

Rule for day types

The rule for day types is used to determine whether the day in question is a working day, Saturday, Sunday or public holiday.

Use

You can specify which day types apply on which days for each day type defined in the system.
Each work schedule has its own rule for determining day types.
You define these rules in the customizing system in the Rules for day types view.

Automatic Regeneration of Period Work Schedules

In this field, you can determine how the system should react if the monthly work schedule has not yet been generated when the
personal work schedule is set up.

  • ' ' (blank): The monthly work schedule is automatically generated by the system. The work schedule is not saved in the database,
however. The system outputs a message.
  • 'A': The monthly work schedule is automatically generated by the system. The work schedule is not saved in the database,
however. The system does not output a message.
  • 'M' : The monthly work schedule is not automatically generated. An error message appears.

RH work schedule rule for this work schedule rule

The work schedule rule for reduced hours determines the work schedule for employees working reduced hours.

Use

It is also possible to create a variant for reduced hours for each work schedule rule.
Employees work according to the reduced hours schedule which is assigned to their normal work schedule rule.
The work schedule rule for reduced hours is entered using a report in infotype 0049, Reduced Hours.

Shift premium

In this field, enter what percentage of the employee's contractual or voluntarily-agreed remuneration should be paid on the basis of
special working conditions like nightwork.
The amount entered here can be evaluated, calculated, and generated as an automatic bonus in R/3 Time Evaluation and R/3 Payroll.

Activities

Enter the desired shift bonus as a percentage of the remuneration.

Example

Nightwork should be paid at 110 percent of the contractual remuneration per hour. The contractual hourly wage is 100.00 DM. The shift
bonus of 10 percent is 10.00 DM. The employee gets paid 110.00 DM per hour for nightwork.

Notes

Evaluation and calculation of the shift bonus takes place exclusively in R/3 Time Evaluation and R/3 Payroll. Make the necessary settings
in customizing.
