Functional specs.
Description
Phrases are standardized text. These texts are used on labels, shipping documentation. Currently I2R and 3E have various “free text”
phrases. These phrases are chemical category dependent and usage relevant. These phrases are printed on the labels which are used
during various movements of goods such as goods reciept, goods issue at permi(legasy system).
In DTE2, these phrase will be used not only by Fermi but also by all other plants. All the phrases will be collected on an Excel Spreadsheet.
This excel spreadsheet is populated manually by the EH&S (including chemical, envionmental, safety and waste) users from various plants.
These phrases needs to be converted into SAP Phrases. These phrases will be grouped into phrase groups which will be according to
chemical category and/or application usage.
There are standard SAP transactions for importing phrase data into SAP. You use this function to import the following data into the SAP
system:·
Phrase library·
Phrase groups·
Phrases·
Assignments to phrase sets
Data extracted from legacy systems such as I2R, from the 3E system, or provided on Excel spreadsheets needs to be converted into a
standard SAP file format for phrase import. The SAP system checks if the data can be transferred correctly from this transfer file and
determines the phrases to be changed or created. The SAP system writes a log for the file check. You use this log to correct any errors
that occur.
For this CDD, the conversion will be from one consolidated spreadsheet which will include all possible phrases and their assignments. The
conversion is dependent on the creation of the phrase sets in SAP.
For conversion, steps will be as follows:
1) Cleanse free text “phrases” from I2R and 3E systems as well as those identified by business users -- Done by Users/Programmer
2) Collect data on Excel spreadsheet -- Done by Users/Programmer
3) Data Cleansing occurs – Done by Data Cleansing Team
4) Convert Excel spreadsheet to standard SAP phrase import format -- Done by programmer
5) Import phrases and report on errors -- Done by programmer
6) Test and Verify the uploaded data in SAP -- Done by Users
